SUPPLIER TOOLS & RESOURCE

NWUPC wants to make the process for you to sell into HE a smooth one so we have a number of tools available for our awarded suppliers. We also understand that public procurement and its regulations and requirements can be complex so we have provided guidance documents for awarded and prospective suppliers.

NWUPC’s team of Category Managers are available to support suppliers and we have a dedicated Sustainable Relationships Manager who is focussed on developing suppliers and building relationships between you and the members.

One of your obligations as a framework supplier is to report spend information for all framework you are on to us on a quarterly basis. This information is used to help our members, your customers, fulfill their obligations as a public sector body to report collaborative spend. We try to keep this process as simple as possible through the UCSP website: You can report your spend here > https://www.ucsp.ac.uk/.

HOW TO LOGIN TO THE UCSP WEBSITE

If you require a new login, please contact helpdesk@apuc-scot.ac.uk. You will receive an automated email from noreply@apuc-scot.ac.uk, if you do not receive an email, please check that the email has not been sent to your junk.

When you log in to the website, you will be taken to the main landing page for the Supplier Portal, you can then select the ‘Proceed to MI Portal’ button under the ‘Management Information’ section as shown below.

You can find a Supplier User Guide to the MI Portal page on the left of the screen (as below). Please refer to the User Guide when using the system.

Frequently Asked Questions
Is there a user guide for the portal?
Yes – the supplier UCSP user guide is available within the portal. Please note, you must have an active account to access this guide.
Where can I find my template?
Your reporting template can be downloaded directly from the UCSP portal.
Can I use the same upload template that I used last year?
No – a new spend template is created for each reporting year and is coded specifically to the current system requirements. If you attempt to upload a template from a previous year, the portal will generate an error message.
Can I use the same template for all frameworks?
No – you must download and use a framework-specific template for each submission. Further guidance can be found in the UCSP user guide within the portal.
I am a supplier on multiple UKUPC frameworks – should I upload the same figures to all frameworks?
No. You must not upload the same spend data to multiple frameworks. Spend should only be reported against the specific framework under which it was generated. Any spend submitted will be invoiced accordingly – therefore, uploading the same figures to more than one framework would result in duplicate invoicing.
Should spend figures include VAT?
No – all reported spend must be submitted exclusive of VAT.
What happens if I do not report spend?
As a supplier, you are contractually obligated to report spend (including nil spend) for any framework you are named on. Failure to submit spend data following reminder notifications will be considered a breach of contract and may result in penalties.
I need a login for the UCSP – how can I get one?
Please contact helpdesk@apuc-scot.ac.uk to request access. Ensure you include details of the framework(s) and Lot(s) you require access to.

Please note: UCSP is a UKUPC system. If you are on multiple UKUPC frameworks, you can use the same portal to upload spend for all of them.
The framework has expired – do I still need to upload spend?
Yes – this is known as “legacy spend.” If a framework has expired but a call-off contract is still active and billable, you are contractually required to continue reporting spend. Failure to do so may result in penalties.
Do members see the reported spend?
Yes – NWUPC is owned by our members and operates with full transparency. Reported spend information is shared with members. If an institution identifies a discrepancy, we will contact the framework MI contact to investigate and resolve the issue.
A staff member who previously submitted spend has left – can I change the contact?
Yes – please email supplierspend@nwupc.ac.uk to request that the contact details are updated. We can then get the old contact removed from the account.
I am a supplier on a CPC framework – why are we contacting you?
CPC have opened a number of their frameworks to NWUPC members. As a result, NWUPC collects and manages spend data on behalf of our members for these frameworks. If you have any questions regarding this, please contact supplierspend@nwupc.ac.uk or the relevant CPC framework lead for further clarification.

Supplier Sustainability Engagement with NETpositive Tool

The tool will capture data by you filling out a short questionnaire, which will create a personalised and tailored action plan for your business. You are strongly encourage to upload evidence to showcase your completed actions as these will be used to promote your business to members and may feature in our Sustainability eNewsletter – ECOnnect!

Many Universities across the UK have already signed up to the tool with many more taking a strong interest in doing so. You will only have to complete the tool once and the information will be available to all of your university customers.

Your action plan will be used by NWUPC in on-going contract management and will be a standard agenda item in contract review meetings.
